Purpose of this role
The safe and accurate archiving of patient records is an important requirement for us as an organisation, to ensure that we are complying with our legal and data protection responsibilities and that patient data can be retrieved as necessary.
We have a backlog of files that need archiving and need some help from a volunteer on a short-term basis to help us clear the backlog.
Main tasks
• locate the material to be archived and ensure that it is currently being stored appropriately while we do this backlog project.
• establish whether or not it has been scanned onto our clinical database
• order and appropriate number of boxes for storage of the material
• contact the archiving company we use for barcodes or activate the barcodes that have already been issued to RGP
• box up material
• ensure the contents of each box is listed on a central record (already in place) allocate a bar code and log the contents.
• arrange for the boxes to be collected from whichever RGP site.
• check that all has been collected.
What are we looking for?
• someone with an extremely good attention to detail and the ability to follow a clear process
• ideally someone who is happy to travel between our 3 main sites to identify and box up the material
• this will involve moving files and boxes around, so will need a certain level of physical fitness
Training and support
• there will be a named line manager who will provide ongoing support
• there will be some mandatory training that you will need to complete at the start of your volunteering with us and then periodically afterwards as refresher training
• your line manager will organise training specific to your role

As a hospice care charity, we have offered this support, free of charge, for over 40 years.
Our staff team of 340+ includes a wide range of patient-facing disciplines plus operational support based in Watford, Tring, St Albans, Chalfont St Giles and Berkhamsted. The Charity is now one of the larger UK hospice charities, reaching a GP population of 797,037 of whom 75% live in Hertfordshire and 25% in Buckinghamshire.
Looking after over 4,500 patients a year, as well as those around them, is a huge privilege, one we simply could not achieve without the incredible support of our 1600 strong volunteer workforce. Our multidisciplinary team helps people to live well and receive support in the place that best suits their needs, when they need it the most. We’re here to help the whole family cope during the most difficult of times, early in diagnosis, during a patient’s illness and, if needed, when those around them are dealing with grief and bereavement.
