Summary
To support an Activity Organiser by carrying out the necessary admin duties to ensure the smooth running of the activity for our clients.Detailed description
· To collate names and contact details of clients for the activity (as provided by the AO), and enter them on the Bookings form for the relevant date/s
· To check with the clients regarding any specific needs: ability to get on/off the minibus, any equipment eg walker/stick, any other information relevant to the specific activity
· If activity is full/unsuitable, offer an alternative activity if possible by liaising with other Admin Assistants/referring back to AO/ACO
· To establish the clients’ ability to meet at a central pick up point/need picking up from home
· To TEMPORARILY liaise with Transport (until ACO is in post) with client details/pick up points
· To receive the Transport schedule for the day and relay pick up times/location to clients
· To ensure clients have the office telephone number and your name for any messages
· To update the Bookings form as applicable, and pass any contact detail ammendments to ACO (for amending on our database, CharityLog)
· To carry out any other relevant admin tasks as directed by the AO
· To attend any meetings as necessary
