HCCC is seeking a dependable Deputy Family Administrator to cover for the main family administrator during periods of annual leave, peak workload or sickness.

This is an ideal position for someone seeking a rewarding community role with flexible, intermittent hours. 

Key Responsibilities:

1. Absence & Holiday Cover:

  • Provide scheduled cover for the main Family Administrator during planned annual leave.
  • Provide emergency cover for family communications and urgent enquiries in the event of short-term sickness.
  • Take handover of the HCCC operational phone, laptops and email during coverage periods.

2. Family & Session Coordination (During Cover Periods):

  • Respond to new family enquiries and guide parents through the intake and application process.
  • Maintain communication with active families to arrange contact sessions.
  • Prepare session handover notes and handle phone/laptop transfers to and from Team Leaders as required.
  • Log attendance records for active sessions.

3. Operational Continuity & Support:

  • Maintain up-to-date knowledge of HCCC’s onboarding procedures, software, and family management systems.
  • Shadow the main Administrator periodically to stay current on operational changes and active caseloads.
  • Provide administrative support during unusually high-volume intake periods, if required.

4. Governance:

  • Attend handover briefings/annual training and the Annual General Meeting (AGM)

Key Skills & Experience:

  • Strong administrative capabilities.
  • Ability to manage sensitive family records, court papers and contact session notes with extreme discretion.
  • Warm, empathetic, and professional communication skills for working with families and other HCCC volunteers.
